Resources for Administrators

As individuals who handle the recruitment and appointment process for regular active status faculty (full-time) and limited-service faculty (part-time or voluntary), the information in this section is specifically for you to use as a resource. Guidelines, forms, checklists, deadlines, and other documents are available for you to use as needed.

Checklists for Regular Active-Status Faculty

For Regular Active-Status Faculty, a national search must be completed and closed prior to appointment. At SMHS, all undergraduate and graduate degrees must be verified for all proposed full-time faculty appointments.

To complete the candidate's dossier, the following information is needed:

Instructors and Assistant Professors Checklist

  • Cover letter from chair indicating recommendation for appointment level qualifications, position to be filled and financial arrangements with a note that Departmental APT has reviewed
  • Current CV in GW format (required)
  • Statement of personal data (completed online by the faculty member)
  • Two (2) letters of recommendation
  • Copies of any correspondence the department chair has had with the candidate pertaining to potential employment or space arrangements (GW employees only)

Associate Professors and Professors Checklist

Cover letter from chair indicating qualifications in the areas of professional service, teaching, research, and scholarly publications.  The letter should provide the vote of the departmental APT Committee. For faculty who will be University employees, the letter of offer signed by the faculty member should also be provided.

  • Current CV in GW format (required)
  • Statement of personal data (completed online by the faculty member)
  • Copies of three (3) recent peer-reviewed publications. If an article from a journal, please provide the original PDFs of articles from the publisher's web site or Himmelfarb Library
  • Two (2) letters of recommendation for Associate; three (3) letters for Professor
  • Offer letter signed by the faculty member (GW employees only)

If an appointment is for a promotion-on-hire, prior approval to proceed must be received from the Senior Associate Dean for Faculty Affairs. Then, in addition to the above documents, the candidate must provide the following:

  • Statements of scholarship, teaching, and service (each statement no more than 3 pages maximum)
  • Five (5) letters of evaluation from independent reviewers (see Guidelines for Primary Reviewers)

Checklist for Limited Service Faculty

Adjuncts, Clinicals, and Preceptors Checklist

Limited service faculty includes part-time or voluntary faculty.

  • Cover letter from chair indicating recommendation of appointment level qualifications and type of service to be performed.  If an individual is to be compensated, the letter must also include the percentage of effort and financial arrangements.
  • Current CV
  • Statement of personal data (completed online by the faculty member)
  • One (1) letter of recommendation

Checklist for Research Faculty

 Assistant, Associate, and Research Professors Checklist
  • Cover letter from chair indicating recommendation for appointment level qualifications, position to be filled, and financial arrangements (salary, grant numbers or sources from which the faculty member will be paid, etc).
  • Current CV in GW format (required)
  • Statement of personal data (completed online by the faculty member)
  • Two (2) letters of recommendation
  • Copies of any correspondence the department chair has had with the candidate pertaining to potential employment or space arrangements (GW employees only)
  • If a national search was not used to hire the candidate, a waiver must be requested using the format below. Be sure to provide a rationale for not conducting an open, advertised search for the position.
