Dear Students, 

All students are required to have flu shots annually. you MUST provide documentation of your flu shot (or, if you have a medical or religious contraindication to flu shots, documentation of that) to the GW Hospital Employee Health Office (ground floor of GW hospital suite G1092) no later than January 5th, 2015, or you will be removed from clinical activities. SOME OTHER AFFILIATES HAVE EARLIER DEADLINES AND YOU MAY ALSO NEED TO PROVIDE DOCUMENTATION ON-SITE WHEN YOU GO FOR YOUR CLINICAL CLERKSHIPS---PLEASE LOOK FOR THE SPECIFIC INFORMATION FOR EACH AFFILIATE BELOW AND PAY ATTENTION TO COMMUNICATIONS FROM UPCOMING CLERKSHIP SITES.  
  • Employee Health will offer vaccinations starting September 22nd, Monday through Friday from 8a-12p and 1p-4p
  • Mandatory vaccination applies to all employees, physicians, volunteers, students (providing clinical care), vendors and contractors.
  • GW Hospital Employee Health will provide a flu vaccination to anyone who works or volunteers in the hospital, including attending physicians, residents, and students.
  • The deadline to get or show proof of vaccination this flu season will be January 5th.
  • During flu season, anyone who has a documented exemption from receiving the vaccine, due to medical or religious reasons, will be required to wear a surgical mask when providing care to patients.
  • Anyone who was granted an exemption last year does not have to re-request an exemption this year. The deadline to request medical or religious exemption is October 31st

Human Resources and Employee Health have also arranged a number of special opportunities to make it more convenient to get a vaccination:

10/2/14 – Flu clinic in Employee Health*

11/13/14 – Rolling cart on units

10/9/14 – Rolling cart on units

11/20/14 – Flu clinic in Employee Health

10/23/14 – ASC/K Street

12/4/14 – Flu clinic in Employee Health

10/30/14 – Flu clinic in Employee Health*

12/18/14 – Flu clinic in Employee Health

You can also get your flu shot at Student Health, at your own PCP, or at most pharmacies in the area. those of you at Children's Hospital now may be able to get it there--see below.

Children's National Health System: this applies to students, and you can get your flu shot at Children's if you are there now.  Must have by by December, 1st, 2014
Dear Children's National Staff,

All of our staff must participate in the flu vaccination program to protect our patients. Our goal this year is to again reach 100% flu vaccination compliance.

Flu vaccination clinics kick off on Monday, September 15. All employees must have received their flu vaccination or submitted their declination paperwork by December 1, 2014.

In addition to news about the flu, you may have heard about another respiratory illness called enterovirus D68 (EV-D68), one of many enteroviruses that can cause flu-like symptoms. Children's National has no confirmed cases, but we know employees may have questions about the virus so we have prepared resources on the Intranet. There are no vaccines for preventing EV-D68 infections. Use good hand washing techniques to protect yourself and our patients. Again, the EV-D68 virus is separate from our flu vaccination program.


Flu Vaccination 2014: What You Need to Know

Getting Vaccinated: You have several options to get vaccinated before the Dec. 1 deadline: 

  • Option 1: Attend a Children's National vaccination clinic at the main campus or at your extended campus, if available.

    • There are more than 25 all-day clinics currently scheduled September through November, and more clinic dates are being scheduled for extended campuses.

    • Bring your employee ID to any Children's vaccination clinic so it can be scanned.

    • When you get your shot, you will receive a green tag - please wear this tag on your badge or lanyard at all times throughout the declared flu season.

    • You must get the vaccination by Monday, December 1, 2014.

  • Option 2: Get the flu vaccination anywhere at a location of your choice.

    • You must complete a form to confirm you are not getting a vaccination at a Children's clinic, but rather from an external source.

    • Complete the External Vaccination Declination Form.

    • If you received your flu vaccine outside of Children's National, please bring documentation of your vaccination and the signed Form to Occupational Health to receive your green tag. You also can email forms to OHflu@childrensnational.org.

    • You must get the vaccination and turn in the paperwork showing you received it at a non-Children's location by Monday, December 1, 2014.

Declining the Vaccination: What You Need To Know
This year, employees may decline the vaccination only for defined religious or medical reasons.

  • Read the Fact Sheet about declining the vaccination.

  • Complete either the Religious or Medical Declination form.

  • Return the form to Occupational Health no later than December 1. You can email declination forms to ohfludecline@childrensnational.org.

  • Employees who decline the flu vaccine will be required to wear masks if they work on a campus that provides clinical care. You will be required to wear a mask at all times during the declared flu season.

INOVA Fairfax and Alexandria Hospitals:
Must have (and bring) documentation of flu shot by October 31st, 2014.  Even if you take documentation there, you must also provide documentation to GWU Hospital Employee Health. they also send the attached form to all rotating students and you must complete it. 
Holy Cross Hospital:
Must have (and bring) documentation of flu shot by September 29th, 2014.  YIKES!!!!!!  get your shot immediately (sorry, for late notice on this, but i think they moved up the deadline this year). Even if you take documentation there, you must also provide documentation to GWU Hospital Employee Health. 
Veteran's Administration:
no absolute deadline, so the January 5th deadline will apply to students at the VA. you can get a free flu shot at the VA if you are rotating there.
